AI Note-Taking Tools 2026: NotebookLM, Mem, Notion, Otter, Granola

These five tools are often compared as if they did the same job. They don’t. Two focus on research and personal knowledge, one adds AI to a workspace, and two focus on capturing meetings. This guide sorts them by task so you can shortlist the right one.

NotebookLM (Gemini Notebook)

NotebookLM help now redirects to Gemini Notebook. It works from sources you pick and produces answers with citations, study guides and audio overviews (source). The standard entry is free, paid plans raise limits, and a September change moved usage to compute-based limits rather than a fixed daily count (source). Mem

Mem captures notes, meetings and research, and adds Chat, related notes and imports (source). You can work on notes offline and sync later, which is not the same as using its AI offline. Current pricing is on Mem’s pricing page, so confirm the amount there. See our Mem review.

Notion AI

Notion Free and Plus include an AI trial, not full AI access. Business includes AI Meeting Notes, which captures and transcribes meetings without a bot (pricing, AI Meeting Notes). Offline access to pages is separate from AI features. Read our Notion AI review.

Otter

Which one for which task

• Synthesizing a fixed set of documents: NotebookLM, as long as you check the citations.
• A personal knowledge base with AI retrieval: Mem.
• A team already working in Notion: Notion AI, remembering that meeting notes sit on Business.
• Transcripts of recurring meetings: Otter or Granola, depending on whether a visible bot is acceptable.

There is no single winner. The right pick depends on where your notes already live and what you need to find later.

How to evaluate for yourself

1. Pick one real task you own: a recent meeting (recorded with consent) or a folder of documents.
2. Run that same task in two candidates on their free or trial tier.
3. For every AI answer, open the cited passage and check its wording and date.
4. Compare usable quotas on the plan you would actually pay for, and confirm exports cover what you need.
5. Read the data terms of that specific plan before uploading confidential material.
6. If you are migrating, import a sample folder first and inspect links, tags and attachments.

Common questions

Do meetings need transcription if I take notes?

Not always. Your own notes capture what you judged important, while a transcript keeps the full record for later checking. If you need exact quotes, decisions or accountability, Otter, Granola or Notion AI Meeting Notes on Business can add that record.

Are meeting bots disruptive?

Does Mem.ai justify its price compared to just using Notion AI?

Which of these tools works offline or without a persistent internet connection?

How hard is it to migrate years of notes from Evernote or Obsidian into these tools?
